AI and website information architecture: how to organise pages so visitors actually find what they need

A well-structured website guides visitors to the right information without forcing them to think. AI can help plan that structure faster, but only when the team understands what the visitor actually needs.

A clear structure is invisible; a bad one costs you enquiries

Most visitors do not read a website from top to bottom. They scan, look for a familiar word and click. If the navigation makes sense, they find what they need and move closer to contacting the company. If it does not, they leave.

Information architecture is the discipline of deciding which pages a website needs, how they relate to each other and how the navigation guides visitors between them. It is not visual design. It is the skeleton that design hangs on. When the skeleton is wrong, no amount of good copy or attractive layout fixes the experience.

AI can help plan this structure faster, but it works best when the team already understands the visitor’s goals and the company’s priorities.

Why most website structures go wrong

The most common mistake is organising a website around the company’s internal structure instead of around what visitors need. A consulting firm might create separate pages for each department. A manufacturer might list products by internal category codes. The structure makes sense to the people who work there. It confuses everyone else.

Another frequent problem is flat navigation: putting every page at the same level so the visitor faces ten or fifteen menu items with no clear hierarchy. The visitor has to read every label before they can decide where to click. That is cognitive work the website should have done for them.

A third problem is orphan pages: important content that exists on the site but has no clear path to or from the main navigation. Visitors who land there from search might read the page, but they have no obvious next step.

AI can help with all three problems, but only if the team feeds it the right context.

What AI needs to plan a good structure

AI cannot guess your business model, your customer’s decision process or which services you want to prioritise. Before asking AI to suggest a site structure, prepare:

  1. A list of your main services or products, grouped the way customers think about them.
  2. The top five to ten questions customers ask before contacting you.
  3. The main actions you want visitors to take: enquiry, booking, download, phone call.
  4. Any existing analytics data showing which pages get traffic and which do not.
  5. Competitor or reference sites whose structure you find clear (and why).

This input takes thirty to sixty minutes to collect. It changes the quality of every AI suggestion that follows.

How AI helps with page hierarchy

Once the team has collected the inputs, AI can help in several practical ways.

Suggesting a page tree. Give the AI your list of services, customer questions and conversion goals. Ask it to propose a hierarchical page structure with primary navigation items and logical sub-pages. Review the output against how your customers actually describe their needs. Remove pages that serve the company but not the visitor. Add pages for questions the AI did not know to ask.

Testing navigation labels. AI can generate multiple label options for each navigation item. The goal is to find labels that a visitor would recognise without training. “Solutions” is vague. “Website design for small businesses” is specific. Ask the AI to suggest labels at different levels of specificity and pick the ones that match how your customers talk.

Finding gaps and overlaps. Ask the AI to review the proposed structure and flag where two pages cover similar ground, where a logical page is missing or where the path from landing page to conversion is unclear. This is a fast way to catch structural problems before they become design problems.

Mapping visitor paths. AI can trace the most likely paths through a proposed structure: where a visitor lands, what they read next and where they should encounter a call to action. If the path from a blog post to the contact page requires four clicks, the structure needs work.

What AI cannot decide for you

AI can suggest structures, but it cannot know which services are most profitable, which customer segments you want to grow or which proof points you can actually support. It does not know that your sales team always starts conversations about one service before introducing another, or that a particular page exists mainly for SEO rather than for human visitors.

These decisions shape the final structure. AI gives you options faster. The team chooses based on business knowledge.

A practical workflow for AI-assisted information architecture

  1. Collect inputs: services, customer questions, conversion goals, analytics data and reference sites.
  2. Ask AI to propose a page tree with three levels maximum.
  3. Review the proposal against customer language and business priorities.
  4. Ask AI to suggest navigation labels and test them for clarity.
  5. Ask AI to map visitor paths from common landing pages to conversion points.
  6. Walk through the proposed structure with someone outside the company. If they can find the main service page and the contact page without help, the structure works.
  7. Adjust based on feedback and hand the approved structure to the design team.

This process takes one to two days instead of a week. It produces a structure that is grounded in how visitors actually navigate, not in how the company is organised internally.
